How it works
- As maintenance is completed the invoice is scanned or forwarded to Virtual Fleet Manager™. Maintenance record is updated and maintained.
- Branch manager enters weekly unit mileages or hours via web page that updates maintenance record.
- As time or mileage record reflects for PM or DOT inspection being due the branch is notified via email or phone. Follow up takes place weekly until unit is completed.
- Any service invoices are audited with first the software and then by human eye when something out of the ordinary occurs such as too high a price for a part or too many hours of labor for a particular job.
- Vendor would be notified for appropriate corrective credit for such issues.
- Monthly reporting of maintenance spending for branch, by unit, by vendor.
- DVIR (Daily Vehicle Inspection Report) is also forwarded as well from the branch to be another set of eyes from what the driver is saying and seeing of the equipment to be maintained in the maintenance record as well and a potential early warning of potential problem.
- Professional fleet manager on call to answer mechanical and operational questions as they arise by the client. Such as; is the vendor charging me the right price, does this really need to be done on this truck, etc.
- Optional driver records can also be maintained within the system as well to keep track of medical card being current, driving record, personnel record, etc.
